Responsibilities*

Assistant Chair for Faculty & Staff Development,

Administrative  Support (20% effort)

  • Calendaring and meeting coordination
  • Correspondence
  • Schedule Faculty exit interviews
  • Reconciling expenses through Shared Services
  • Coordinate bi-annual (winter/spring) Faculty Promotion Review meetings
  • Coordinate, plan and facilitate Junior Faculty development activities, including but not limited to, faculty mentoring, and promotions (may also involve ordering, set-up and clean-up of catered lunches/refreshments)
  • Facilitate Faculty recognition events/activities (ie. annual promotion recognitions)
  • Special projects as assigned

 Academic HR/Faculty Affairs Responsibilities (45% effort)

  • Under guidance of the Path Academic HR Manager, will be responsible for appointments and onboarding of annual incoming rotation of Clinical Instructors
  • Under guidance of the Path Academic HR Manager, will be responsible for the off-boarding of current year Clinical Instructors (those not staying with advanced faculty appointments)
  • Under guidance of the Path Academic HR Team, coordinate the onboarding activities of all new incoming faculty hires, including but not limited to:
  • Securing System access, including soft signatures
  • Procurement of lab jackets, pagers, onboarding materials
  • Coordinating professional photos
  • Enrollment in OFA Med School Orientation
  • Assist with in-person 1st day Path dept. Orientation for Clinical Instructors
  • Under the guidance of the Path Academic HR Team, coordinate the off-boarding activities for faculty at time of termination
  • Facilitate reimbursement of Faculty moving/relocation expenses through SSC
  • Facilitate process for supporting Faculty sponsored Visiting Observors
  • Provide back-up coverage for Cornerstone inquiries, Re-appointments/Re-credentialing

 Elements ~ Faculty CV Platform (30% effort)

Appointments

  • Assist with creating CVs in word documents in Med School Format
  • Following the appointment and onboarding, create the initial template for new faculty in Elements. Provide initial overview for updating in Elements and create a follow-up schedule for all new faculty (2 months, 6 months, 1st year, and every 6 months thereafter) to touch base and review CV progress.

Promotions

  • Conduct initial review of ALL proposed promotion candidates in early spring and prepare CVs for outgoing Solicitation packages for May/June; work with ALL candidates throughout the promotion cycle up through package submission (October 1st) and any subsequent edits/revisions until all packages are forwarded to main campus.

 Current Faculty

  • Upon notification of faculty with upcoming 3 year track Dean reviews, do an overview of CVs in Elements prior to those meetings
  • Act as the SME for all department faculty as needed
  • Act as a resource for all department administrative support staff as needed

 Other Duties as assigned by Academic HR Manager (5% effort)

Required Qualifications*

Bachelors degree in Business Administration, Human Resource Management, Health Administration or Organizational Management or equivalent education and experience; 5-7 years of progressive administrative experience. Administrative experience in health care or medical school business is necessary. Requires exceptional communication skills (written and oral) and good judgement.  Ability to exercise judgment in setting priorities along with the ability to multitask, take direction and communicate effectively with faculty and staff.  Must be a self-starter, able to work independently and within a team environment.  Extensive knowledge of Microsoft Office, Word, PowerPoint and Excel and understanding of the academic/financial systems is necessary. 

Desired Qualifications*

 Expert level experience with Elements Software.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
