The Northrop Grumman Mission Integration OU is seeking an experienced Administrative Assistant 3 to join our team of qualified and diverse leaders in Chantilly, VA. The Administrative Assistant provides a critical role in providing the organizational and administrative support required for effective operations of the Phoenix Program, reporting directly to the Phoenix Program Director.
The Administrative Assistant serves a critical role in coordinating and managing the program and leadership schedule and outreach, meeting arrangements, documentation, and projects. The ideal candidate is experienced, pro-active and highly detailed oriented, with strong communications skills and a knack for relationship building at all levels. This position requires the Administrative Assistant to perform advanced administrative duties with exposure to sensitive information necessitating tact, diplomacy, discretion and judgment. Strong integrity is essential, and the candidate must be comfortable working in a high energy, collaborative, diverse, professional environment.
Roles and responsibilities of the Administrative Assistant will include (but not be limited to) the following:
• Provide administrative support to multiple personnel in a fast-paced Agile development environment
• Manage and maintain multiple personnel and conference room Outlook calendars
• Ensure appropriate meeting preparations are made (coordination of call in number, meeting materials available and printed if required, catering requests, etc...) for both internal and external meetings
• Orders and maintains office supply inventory for unclassified and classified program teams
• Facilitating program meetings, executive meetings, and customer visits.
• Produces and edits correspondence and presentations; assists in the preparation of regularly scheduled reports.
• Independently coordinates and manages a variety of projects
• Schedules meetings internally and externally; coordinates & reserves offsite locations for large events, arranges catering and manages all integration required for program reviews
• Builds successful working relationships with a diverse group of internal employees and external customers
• Write and distribute email, correspondence memos, letters and forms as required
• Working on problems of diverse scope where analysis of data requires evaluation of identifiable factors
• Operating independently to meet requirements of leadership team and offering expertise to assist other functions within organization
• Assisting events and activities of major organization initiatives
Successful candidates will have the following key attributes:
• Proactive - anticipates requirements from higher management, and initiate and complete actions required to meet those requirements
• Perceptive - sees the "big picture" but is also able to focus on the details and follows all of them through to completion
• Composed - maintains a "level head" in the extremely dynamic, fast-paced, and demanding environment, especially when working closely with executive management on projects with highly compressed timelines and tight deadlines
• Discretion - self-initiates tasks with considerable latitude for independent judgment
Basic Qualifications:
• High School diploma or equivalent and 4 years additional education and/or related experience.
• Excellent organizational, verbal, and written communications skills.
• Must have excellent time management and organizational skills with high attention to detail
• Strong computer skills including working knowledge of Microsoft Office suite (Word, PowerPoint, Excel, Outlook); up-to-date with advancements in office equipment and applications
• Ability to adapt to rapidly changing priorities and handle multiple tasks and managers in a fast-paced office environment
• Must have an active DoD Top Secret // SCI clearance that has been granted or reissued in the last 5 years or is currently enrolled in continuous evaluation
• Must have ability to obtain and maintain Access (PAR) within a reasonable period, as determined by the company to meet its business needs
Preferred Qualifications
• Bachelors Degree and/or Masters Degree
• Special Program Access (SAP)
• Ability to exercise discretion and respect confidentiality concerning employee information and company records
• Must possess a high level of initiative and ability to effectively handle multiple tasks
• Ability to work well independently with minimal daily direction, as well as part of a team
• Must be customer focus oriented; previous experience with government customers is a plus
• Must be able to work amicably with a diverse work force and respect differing opinions
Salary Range: $54,400 - $90,600
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
