Job Summary:
The Administrative Assistant will provide general business and administrative support to division leaders, handling a variety of functions to ensure smooth operations and address both internal and external customer needs. The role focuses on administrative tasks related to the organization, talent sourcing, and facilitating onboarding activities for new employees, including HR, safety, and other administrative responsibilities.
Essential Duties/Responsibilities*:
- Provide overall administrative support as directed.
- Provide support on various projects as directed by the Vice President, helping with research, coordination, and tracking of project timelines.
- Participate in talent sourcing by identifying potential candidates and building relationships with trade schools and other training programs to facilitate recruitment.
- Collaborate closely with employees, managers, and human resources to track and maintain recruitment, onboarding, training, and safety records.
- Manage and maintain accurate employee files and records.
- Support the onboarding process by preparing new hire documentation, facilitating orientation, and ensuring the completion of required forms.
- Assist managers in preparing and processing employee changes, including status updates, promotions, and transfers.
- Work closely with department managers to address personnel administrative matters.
- Answer general employee inquiries regarding benefits and company procedures.
- Follows all company policies and procedures, including confidentiality and matters of safety.
- Other duties as assigned.

Minimum Requirements:
- High School Diploma or GED. Relevant work experience may be substituted for education.
- 1+ year's office and/or clerical experience.
- Relevant work experience may be substituted for education.
- General computer competency is required, including a minimum of 1-year experience Microsoft Excel, Word, and Outlook.
- Must be able to communicate in English effectively, both verbally and in writing.
- Ability to work overtime with little notice; weekends hours may occasionally be required.
Preferred Qualifications:
- Completed college course work.

- Ability to enter text or data into a computer by means of a traditional keyboard or 10-key numeric keypad.
- Must be able to use arms and hands to reach overhead, signal, grab, hold, lift, turn, push and pull objects and tools.
