King County Parks is seeking a skilled Event Coordinator to lead the planning and execution of third-party events at Marymoor Park. About the Role: This role is responsible for coordinating and overseeing the planning, execution, and management of annual events and rentals, including tournaments, picnics, and trail events. Key responsibilities include scheduling, organizing, and ensuring the successful completion of events from start to finish. This position requires close collaboration with event producers, external stakeholders, and Parks staff to assist with planning and executing a variety of public and private events, such as Marymoor Live concert series, Festival of Color, India Independence Day Festival, Cirque du Soleil, CHOMP!, community gatherings, and corporate picnics. Additionally, this role will lead the cashier program for event parking logistics and coordinate the Marymoor Events Emergency Response Team, ensuring safety protocols and efficient operations across all events. The ideal candidate will thrive in a fast-paced, collaborative environment, bringing organizational excellence and problem-solving skills to ensure each event is a success.

About the Team: This position is part of the Marymoor Business Unit, responsible for managing community and revenue-generating events, partnerships, parking programs, rentals, and customer service at Marymoor Park. The team handles inquiries, schedules rentals, collects fees, and provides support to sports leagues, recreation groups, companies, individuals, and concessionaires.
Marymoor Park is home to a diverse and unique set of amenities including natural and artificial athletic fields, the only velodrome in the region, a remote aircraft field, walking/biking trails, nature trails, a large community garden, a rowing boathouse, a 42- acre off-leash dog park, and a climbing wall all of which stretches over 640 acres. The park attracts over 3 million visitors annually, and the team brings in over 3 million dollars in revenue each year that is put back into our King County parks.

What You Will Be Doing:
- Coordinate the planning and implementation of third-party special events details including event partner relationships, facilitating planning meetings, managing concessionaire receipts, preparing marketing plans, and overseeing budgets and event logistics.
- Process facility reservations in ActiveNet and produce use agreements applying established King County rules and procedures. Apply appropriate fees and follow up on all event group accounts for timely and appropriate payments.
- Provide exceptional customer services regarding facility usage and scheduling for picnics, trail events and other large events. Handle sensitive and potentially volatile customer interactions and take steps to resolve the situation.
- Coordinate with stakeholders to secure permits and special use agreements.
- Maintain event timelines, budgets, status, and post event summary. Prepare reports and scheduling information as needed.
- Attend events and perform in a leadership role to oversee activities and ensure fulfillment of contractual obligations.
- Participate in interview and selection process for temporary staff. Schedule staffing and supervise procedures for cash handling and intake for special event parking for concerts, Cirque Du Soleil, movies, and other community events.
Experience, Qualifications, Knowledge, Skills
Qualifications You Bring:
- Demonstrated experience in planning, coordinating, and executing public events, with a track record of successful facilitation.
- Experience working with and administering use agreements and contracts.
- Experience in leading, directing and training temporary staff.
- Exceptional organizational skills with the ability to manage multiple tasks concurrently, prioritize effectively, and consistently meet deadlines while maintaining high-quality standards.
- Strong attention to detail, coupled with strong analytical abilities and a proactive approach to problem-solving, ensuring thorough and efficient resolution of challenges.
- Proficiency with Microsoft Office 365 Suite, recreation scheduling software such as ActiveNet, and SharePoint.
- Excellent communication and customer service skills to successfully communicate with a wide audience and in varied communication settings.
- Customer Focus by building customer relationships and delivering customer-centric solutions.
- Plans and aligns by planning and prioritizing work to meet commitments aligned with organizational goals.

Working Conditions:
- Remote and Onsite Work Details: Employees in this role work remotely from a home location, with onsite reporting requirements typically 3 days per week. The frequency of onsite work is determined by business needs and may be adjusted accordingly. Onsite reporting locations may be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104). This work arrangement promotes work-life-balance and reduces carbon footprint under the department's vision of Green Where We Work.
- Remote Work Location Requirement: Employees must reside in Washington State and be within a reasonable distance to King County worksites to meet onsite reporting requirements.

- Work Schedule: This full-time position works a 40-hour work week. This position is covered under the provisions of the Fair Labor Standards Act (FLSA) and is overtime eligible.
