ABOUT THE OFFICE OF EARLY CHILDHOOD:
Under the leadership of the Department of Human Service Programs, the Office of Early Childhood (OEC) is a collaboration between the City of Cambridge and Cambridge Public Schools. The mission of the OEC is to connect the Cambridge early childhood ecosystem, align early childhood services and information, and advocate for and advance the needs of all young children, their families, and the early childhood workforce. The vision for this work is that every child and family in Cambridge has access to high quality early care and education experiences. As a result, all children enter school ready to thrive academically, physically, socially, and emotionally and continue to do so throughout their academic careers and lives.

ABOUT THE ROLE:
The Outreach and Enrollment Specialist will be responsible for the Cambridge Office of Early Childhood’s family facing outreach, including family facing components of CPP application and enrollment. This includes collaboration with the City of Cambridge family support partners and being responsible for the timely and accurate completion of CPP applications. The Outreach and Enrollment Specialist will report to the Enrollment Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Outreach

  • Evaluate, develop and implement CPP and other related OEC family and community outreach efforts
  • Prioritize the enrollment of high needs children and families into CPP.
  • Liaise with city family support partners to ensure successful CPP outreach and application period.

Enrollment

  • Support the OEC Enrollment Manager, implement the CPP enrollment strategy adhering to timelines, procedures, and documentation requirements
  • Support the OEC team and other partners, create a family-friendly CPP application process that includes: In -person application support sites, Information sessions & Workshops
  • Manage the collection, review, and verification of CPP applications and supporting documents, including a system to follow up with families to complete necessary steps for CPP application.
  • Act as the primary contact for all staff who process CPP applications
  • Support the Enrollment Manager with all aspects of the application/enrollment platform including: Maintaining accurate application and placement records & Running reports
  • Assist families and program partners with enrolling CPP children into their preschool programs
  • With the Enrollment Manager, be a point of contact for parents and caregivers regarding CPP application and placement inquiries and concerns
  • With the Enrollment Manager, be a point of contact for designated enrollment coordinator at CPP partner sites
  • Assist Enrollment Manager and the OEC with evaluation and continuous improvement efforts. Stay informed about best practices in family engagement, Pre-K enrollment and early childhood education to inform program improvements
  • Actively participate in the Department of Human Service Program’s Race and Equity Initiative
  • All other duties that may be assigned

MINIMUM REQUIREMENTS:

Experience and Education

  • Relevant educational qualifications, such as a Bachelor's Degree, or any equivalent combination of professional experience in early childhood education or human services
  • Experience working with children and families from diverse backgrounds
  • Experience working in an urban setting and with diverse groups

Knowledge, Skills, and Abilities

  • Demonstrated commitment to diversity, equity, and inclusion
  • Highly organized
  • Strong interpersonal skills
  • Excellent communication skills, both verbal and written
  • Strong technological skills
  • Ability to work some nights and weekends
  • Knowledge of the Cambridge community is an asset

PHYSICAL REQUIREMENTS, WORKING CONDITIONS, WORK FLEXIBILITY AND ACCOMODATIONS:

  • Ability to access, input and retrieve information from a computer.
  • Ability to answer phones and maintain multiple files and able to lift a minimum of at least 10 pounds.
  • Work indoors is in a professional office setting.
  • Ability to travel to meetings within the City.
  • This position may be eligible for hybrid work under the City’s Telework Policy depending on operational needs.
